Accounts Payable Specialist

Purpose and scope: 
The accounts payable specialist performs accounts payable accounting function including receiving and matching invoices, account coding, preparation of disbursements, and accounts payable-related record keeping.
Responsibilities:
  • Codes invoices with account/department numbers according to distribution in the general ledger; determines dates for invoices to be paid; keys invoices into computerized accounts payable system. Maintains alphabetical open invoice file for unpaid invoices.
  • On a weekly basis, reviews invoices scheduled for payment, wire transfers, ACH transactions and special check requests.
  • Attaches duplicate copy of checks to original invoices, stamps invoices 'Paid' and files in permanent records.
  • Reconciliation of vendor accounts by communicating directly with vendors.
  • Prints, verifies, and maintains accounts payable voucher reports, open/aging reports, disbursement reports, and journals.
  • Receives and answers phone calls from vendors or other
  • Assists with monthly status reports, and monthly closings.
  • Files, maintains, and distributes accounting documents, records and reports.
  • Performs other accounting duties as required.
  • During training phase (1-2 months) be willing to travel to a Southern California location other than Fountain Valley.
Skills / Other:
  • MAS 500 or other equivalent system experience 
  • 10-key by touch 
  • Microsoft Office (Word, Excel, Outlook, etc.). Strong excel skills a must. Excel expert preferred. 
  • Ability to handle requests/questions/expectations from people with variant personalities
  • Excellent written and verbal communication skills 
  • Strong organizational skills; must be detail oriented 
  • Ability to multi-task 
  • Open to change and willing to learn new skills 
  • Ability to follow up on pending issues 
  • Ability to meet deadlines 
  • Ethical Conduct  
Education and Training:
3-4 years accounts payable or general accounting experience
