Position Summary

The Training Coordinator keeps training programs running smoothly in a fast-paced environment. This role focuses on scheduling courses, coordinating logistics, maintaining accurate participant rosters, tracking attendance and completion, and compiling documentation for internal stakeholders and external partners. You will work cross-functionally with Operations, HR/Payroll, and leaders to ensure training stays on schedule and records are complete, organized, and easy to audit.

This role is ideal for someone who is extremely organized, proactive, and comfortable driving follow-ups with busy managers—firm, professional, and persistent—so deadlines are met and details don't slip.

Key Responsibilities

  • Training scheduling & coordination: build course calendars, confirm instructors/rooms, coordinate logistics, and communicate schedules to participants and managers.
  • Roster management: collect and maintain accurate participant rosters (names, IDs, departments, shift details as needed) and keep them current as schedules change.
  • Attendance & completion tracking: collect sign-in sheets/attendance records, track completions, and maintain proof of participation.
  • Documentation control: maintain an organized filing system with version control, standardized naming, and quick retrieval.
  • Stakeholder follow-up: drive timely responses from managers and departments—send clear requests with due dates, follow up consistently, and escalate when necessary.
  • Systems & reporting: maintain trackers/dashboards in Excel and business applications; provide weekly status updates and flag risks early.
  • Continuous improvement: refine templates, trackers, and checklists to reduce errors and speed up coordination.
  • Travel to various SoCal offices


Required Qualifications

  • 2+ years of coordination experience in a deadline-driven environment (training, HR, operations, payroll, scheduling, or compliance).
  • Strong proficiency with Microsoft Office (Excel, Outlook, Teams) and comfort learning other business applications quickly.
  • Experience organizing and maintaining accurate records with high attention to detail.
  • Proven ability to communicate firmly and professionally to obtain responses and close action items.
  • Ability to manage multiple moving parts and shifting priorities without dropping deadlines.

 

Preferred Qualifications

  • Experience in manufacturing, industrial, distribution, or other high-paced operations environments.
  • Experience coordinating instructor-led training, shift-based training schedules, or multi-site training programs.
  • Comfort working with confidential employee information and partnering with HR/Payroll.

Pay: $35-40/hr
